Assist the administration manager in the day to day first line management of the administration and conference departments incorporating planning and distribution of incoming work and demand for services relating to course and conference bookings.

Role Details

  • To assist the Administration Manager in the day to day first line management of the Administration and Conference Departments incorporating planning and distribution of incoming work/demand for services, relating to course and conference bookings.
  • Skills Training including recruitment of apprentices and Advisor diary management, maintenance of company databases, provision of Receptionist cover and efficient management and delivery of services to the Conference Centre.

Duties

  • Manage staff with regards to high performance and customer care outputs.
  • Coordinate the annual recruitment of apprentices and associated processes.
  • Coordinate incoming work and distribute/delegate accordingly to departmental staff.
  • Quality Checking of Administration/Conference work as required.
  • Organise short course and conference bookings from customers including compilation and submission of all paperwork and accurate inputting.
  • Ensure the completion of Skills Training admin tasks - maintenance of learner and company files.
  • Coordination/production of marketing activities in support of all services.
  • Utilise Administration/Conference staff to provide effective client cover at all times.
  • Issue stationery and monitor stock levels.
  • Attend Open Evenings as required.
  • Take the lead role in the organisation and planning of the Prize Presentation Evening including attendance.
  • Minute Meetings as and when required.
  • Ensure accurate inputting of First Aid and Safety Passport documentation onto Awarding Body websites and ensure production of Certificates.
  • Daily use and update of  system as both User and Super User.
  • Produce weekly Admin/Reception Rota to ensure sufficient cover.
  • Telephone marketing of existing and prospective clients to promote the sale of the Conference Centre
  • In conjunction with Administration Manager, inputting and updating of Conference monthly income spreadsheet, also reconcile monthly nominal reports from accounts.
  • Production of Conference diary sheets on a weekly basis.
  • Ensure daily tasks in relation to the Conference Centre are completed to a high standard.
